3. Booking and Cancellation Policy

Appointments may be booked online, via telephone, or in person. When booking, you agree to provide accurate and truthful information. Because our consultants allocate dedicated time for your care, we enforce a strict cancellation and rescheduling policy:

Within 24 hours of your appointment / Missed appointments: Cancellations made with less than 24 hours’ notice will incur a £50 fee. For same-day or last-minute cancellations (less than 24 hours before the appointment), the full service fee will be charged.

Note: Ovara Health reserves the right to reschedule or cancel appointments due to unforeseen clinical emergencies. In the rare event this occurs, we will notify you as soon as possible to arrange an alternative time.

4. Payment for Care and Insurance Responsibilities

You remain fully liable and personally responsible for the payment of all care, diagnostics, and treatments received at Ovara Health.

Private Medical Insurance Policy

If you intend to use private medical insurance to cover the costs of your care, you explicitly agree to the following terms:

Pre-Authorization: It is your sole responsibility to confirm with your insurer in advance that your specific care, package, or treatment is covered under your policy. Ovara Health will not obtain authorization on your behalf.
Incomplete Information: Where possible, we will process claims directly with your insurer. You must provide complete, accurate, and valid insurance policy details at the time of booking. If this information is missing or incomplete, you must pay for your care directly.
Fee Schedules: Insurers utilize strict fee schedules which may differ from Ovara Health’s standard published private rates. If your insurer pays us directly, the rate agreed between Ovara Health and your insurer will apply.
Shortfalls and Non-Payment: If your insurer fails to settle our invoices (or any portion of them) within 30 days of issue, we will invoice you directly for the balance, or debit the remaining shortfall from your credit/debit card on file.
Policy Limitations: Insurance policies do not always cover the full extent of a consultant’s medical recommendations. Your insurer may refuse to cover certain components of your care (e.g., specific medications, lab pathology, specialized equipment, or complications). You are required to pay for any services or items not fully reimbursed by your insurer.
Reimbursement Claims: If you choose to pay for your treatment out-of-pocket and independently claim the money back from your insurer afterward, Ovara Health’s standard published private rates will apply.

5. Consultant and Clinical Responsibility

Independent Practitioners: Consultants providing care at Ovara Health operate as independent practitioners. They are independently registered, regulated, and insured, and are solely responsible for their clinical decisions, diagnoses, medical advice, and treatment outcomes.
Limitation of Clinical Liability: Ovara Health acts as the facility provider and does not accept responsibility or liability for any clinical treatment outcomes, consultations, or medical choices made by independent consultants.
Directed Care: While under our care, you will be looked after by your primary designated Consultant. They may involve other medical specialists in your care if clinically appropriate. Nursing, midwifery, and support staff provide care strictly under your Consultant’s direct instructions.

6. Website Use and Restrictons

You agree to use our website lawfully, respectfully, and entirely at your own risk. You must not use the site to:

Send, transmit, or upload malicious software, viruses, or harmful data.
Misrepresent your identity or attempt to impersonate another individual.
Attempt to gain unauthorized access to any secure areas of the site, databases, or client systems.
